What is the new online Interlibrary Loan service (ILLiad)?

The new Interlibrary Loan service is an electronic system that patrons will use to request an item directly.  The system is called ILLiad, an acronym for Inter Library Loan internet accessible database.  This system will improve our ILL service by:

  1. Making it easier for patrons to submit an Interlibrary Loan request.  Using ILLiad, patrons will enter their personal information into the system once, at the time of their first request.
  2. Allowing library staff to handle patron requests more rapidly and accurately.
  3. Providing a means for patrons to track the status of their requests through the Web at any time, and from any location, without having to contact the Interlibrary Loan Department.

First Time User Registration for Interlibrary Loan

To request an item through Interlibrary Loan, you must first identify yourself to the library's ILLiad system.  To do this you fill out a registration form using your Web browser. 
Registration has three purposes:

  • Entering your personal information into the ILLiad system means you will not have to supply the information again when making future requests.
  • Having your e-mail and regular mail addresses on file with Interlibrary Loan enables us to notify you promptly and deliver materials accurately when your request arrives in the library.
  • By specifying your library card number and Password of your choosing, you will have secure access to information about your requests.  You will also be able to review the list of items you have requested in the past.

What is Interlibrary Loan (ILL)?

Interlibrary Loan (ILL) is service that allows patrons of the Daemen College to request materials not owned by Daemen College from other library systems throughout the Interlibrary Loan community.

Who may use Interlibrary Loan? 
Daemen College students, faculty, and staff with a current Daemen College ID card and a current library catalog patron record are eligible to use Daemen College Library's Interlibrary Loan services.  All other individuals should contact the college or school with which they are affiliated or their local public library. 

What materials may be borrowed? 
Interlibrary Loan is most frequently used to borrow books and order copies of articles that Daemen College Library does not own.  Items that often cannot be obtained through Interlibrary Loan include reference books, materials in special or rare book collections, some dissertations and theses, and some audiovisual materials.  If you have any doubts, just submit your request and we'll do our best!

 
Can I submit a request for a textbook that is being used in my class? 
Yes, but please be aware we often do not have much success borrowing textbooks.  Most libraries do not purchase current textbooks or choose not to loan them because they want to keep them on hand for their own students.  If we are successful at borrowing a textbook for you, you will only be able to keep it for a short period of time, never for the entire semester.  Along with other books, textbooks are also subject to recall.  We recommend that you buy your textbooks or ask your instructor to put a copy of the textbook on reserve in Daemen College Library.  

How do I know if I need this service? 
Search our library catalog for books or periodicals we own in print format.  Check A-Z Online Journals for articles available online in a database.  If what you need is not at Daemen College Library, order it through ILLiad!  Ask a librarian for help if you are unsure; don’t waste your time ordering something we already own!  

What is the cost?

The Daemen College Library does not charge to use this service.  However, some libraries have lending and copying fees, which the Daemen College Library must pass along to you.  When there is a lending fee, the fees range between $10.00 and $20.00.  Copying fees can vary, and may include copyright payment.  If you indicate a $0 fee amount in your request, you will be contacted by the Interlibrary Loan department if the lending library requests a fee.  If you do not return books on time, the lending library may charge an overdue fine and/or replacement charges which are your responsibility to pay.  A hold will be placed on your student account for any Interlibrary Loan charges not paid.  Payment is due upon receipt of the material. Acceptable forms of payment include cash, check, or money order and can be paid at the Circulation Desk.

 
How do I submit a request? 
All Interlibrary Loan procedures are handled online through ILLiad. You must first set up an ILLiad account.  Through your ILLiad account you will make online requests, track the status of your requests, and receive articles through electronic delivery when that format is available. 

How long does this process take? 
The length of time required to obtain what is needed varies depending on item location, availability, and mode of transmission.  If electronic delivery is available, it is possible that an article may be delivered to your ILLiad account within 24 hours.  If you request a book, we may need to query several libraries before one is able to loan their copy and mail it to us.  Allow about five to seven days for a book to arrive. 

How do I know when materials have arrived for me? 
A notice will be sent to your Daemen College e-mail account.  It is very important, after you submit an ILLiad request, that you regularly monitor your Daemen College e-mail. 

How long may I keep items? 
Loan periods for books are set by the lending library and range from two to four weeks. Interlibrary Loan items are subject to recall from the lending library at any time.  Articles are usually sent as photocopies which you may keep.

Can I renew books? 
You can request renewals through your ILLiad account unless "no renewals" is listed as a restriction.  It is up to the lending library to renew a book or decline your request.  Renewals are usually not granted for overdue books so be sure to request your renewal a few days before the book is due 

What happens if my book is overdue? 
Daemen College Library tries very hard to maintain good working relationships with other libraries!  It is important to return books on time or we jeopardize our ability to obtain materials in the future. Borrowers who disregard due dates will have their ILLiad borrowing privileges blocked and will be unable to check out material until all overdue items are returned to the Interlibrary Loan office. In addition, the lending library may impose an overdue fine which is your responsibility to pay.

Please be aware that if Interlibrary Loan material is not returned, you will be directly responsible to the lending library for payment of the actual cost of the item and any processing fees.  Your Student Account will be blocked until payment in full is received by the lending library.

Where do I pick up items? 
Books may be picked up at the Circulation Desk in the Daemen College Library, located in the Research & Information Commons during library hours. Students may pick up copies of articles that are not sent electronically at the Circulation Desk. As a courtesy, we will mail articles to faculty and staff offices via campus mail.  

What is electronic delivery of articles?

Many libraries deliver photocopies of articles in electronic format. Previously, we printed these articles before delivering them to you. Now, through ILLiad, you have the option of electronic delivery of your articles in PDF format (Adobes's Portable Document Format). You will need Adobe Reader installed on your computer to view, download, and print your articles. Acrobat Reader is available without charge from Adobe Systems, Inc. Click the "Get Adobe Reader" button to go directly to the download page.

To view your articles when they arrive:

  1. Logon to your ILLiad account.
  2. From the main menu, click the "Electronically Received Articles" link under the View Requests options.
  3. A list will be displayed containing all of the items that you have waiting to be viewed or downloaded.

If you do not want electronic delivery, paper delivery is the ILL default. Electronic delivery will be provided only if you choose it as an option on your Personal Information form when you register in ILLiad. 

Where do I return Interlibrary Loan books? 
Please return books to the Circulation Desk in the Research & Information Commons.

The Interlibrary Loan office is open during regular Library hours. Stop by Daemen College Library Circulation Desk, call us at 839-8243, or send an e-mail message.
