Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client matters. Essential Duties and Responsibilities: Essential functions are those job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the firm. ­Prepare correspondence, memoranda and other legal documents from written and oral drafts; draft standard correspondence, and other documents. Screen telephone calls and record messages. Read, sort and date incoming mail. Ensure that outgoing mail is timely delivered. If necessary, route mail to specific delivery service and follows up on timely delivery. Establish and maintain calendar and deadline reminder systems; utilize master calendar system. Open new files, request conflict of interest checks with file room records, and maintain all client and general files. Conduct periodic review for possible storage of older files; prepare files to be closed. Receive clients and visitors; maintain good public relations with clients; observe confidentiality of attorney-client relationship. Make appointments for attorney(s). Process bills; proof billing sheets; review and edit bills and submit requests for checks on behalf of attorneys and client matters. Work closely with other administrative staff (Secretarial Services, reception, Paralegals, etc.); proof documents returned from Secretarial Services; If applicable, ensure that Partners' time is input in a timely manner. In the absence of one or more other departmental Legal Secretaries, incumbent is expected to perform overload typing, filing, photocopying, or reception relief as requested by the attorney(s) or the Manager, Secretarial & Employment Services. As necessary and upon request, participate in training and orientation of new secretaries, training them in: DM secretarial/firm processes and procedures, including telephone techniques Dictaphone/BigHand usage law office confidentiality expectations professional conduct expectations Utilize computerized software programs (Excel, Word, email, digital dictation/BigHand) to perform duties and responsibilities. Operate office equipment including personal computer, copiers, fax machines and 10-key calculator. Ensure strict confidentiality at all times. Assist with special projects as needed. Supervision Received and Exercised: Works under the direct supervision of at least two Attorney(s), with matrix reporting to the Manager, Secretarial & Employment Services
Qualifications/Skills: Education and Experience Requirements: ­ High school diploma or equivalent; Secretarial Professional Certificate highly desired. Minimum of 3-5 years of previous experience in a Legal Secretary role, preferably in a law firm. Demonstrated proficiency in MS Office Word and knowledge of PC operating systems Experience in using Digital Dictation or other related dictation equipment. Experience creating Excel Spreadsheets and PowerPoint Presentations highly desirable. Knowledge, Skills, and Abilities Requirements: Ability to read and write in order to perform routine office correspondence and forms, perform non-complex arithmetic calculations when verifying calculations on forms and documents and when maintaining records and files at a level normally acquired through completion of high school or equivalent. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to perform at high levels in a fast paced ever-changing work environment and successfully adapt to changing priorities and work demands. Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and/or performing other essential duties. Ability to prepare and analyze documents and carry out assigned projects to their completion and when due. Ability to proofread typed material for grammatical, typographical and spelling errors. Ability to type standard memoranda and correspondence and the like from rough draft at a level of 60WPM minimum. Ability to communicate effectively verbally and in writing, and to follow instruction effectively from a diverse group of attorneys and staff, and to provide information with ordinary courtesy and tact. Ability to establish and maintain effective working relationships with employees, attorneys, partners and the general public, and promote confidence in the Secretarial Services processes. Ability to organize work flow and use time efficiently, while work reflects a strong attention to detail. Ability and proficiency in MS Office Word, digital dictation equipment, and knowledge of PC operating systems. Journey's End Refugee Services for The Service Collaborative of WNY in Buffalo, NY

Journey's End is a 501(c)(3) not-for-profit refugee resettlement organization that provides education, housing, employment, and legal interpreting services to all refugee and immigrants, regardless of ethnicity, origin or creed. The legal program was launched in 2010 to fill a gap in legal services available to immigrants. To date, the program has served over 150 clients by representing them in Immigration Court and at adjudicatory interviews. The Immigration Legal Services Program at Journey's End is seeking an AmeriCorps VISTA who can contribute to improving and sustaining our new legal defense project. VISTA candidates should be self-starters, hard-working and committed to helping immigrants and refugees access legal services. Undergraduate and graduate candidates will be considered; a law degree is not required for this assignment. The VISTA member will be expected to: (1) research and apply for grants to support the legal program's mission of providing pro bono representation, (2) develop community/agency partnerships to facilitate a referral net work for our clients and (3) design and implement programs that will educate our clients on immigration law and how it affects them.
